Why equipment arrives broken or wrong

Someone orders a laptop online. It arrives with consumer Windows, no encryption, no management agent, a bloatware load, and a one-year warranty. The new hire spends their first morning watching it update. Two years later it's out of warranty and out of memory. Multiply that by every purchase for a decade and you have the typical small-business fleet.

We fix the process, not just the next order.

How procurement works with us

  1. Assess. Every device is inventoried with its age, warranty, and condition. You see the refresh timeline before anything is urgent.
  2. Spec. We recommend business-class equipment sized to the job: workstations for staff, higher-spec machines for imaging or design, servers with proper warranty, and network gear that matches your office.
  3. Source. Through our Dell, Ubiquiti, WatchGuard, and distributor relationships, usually at better pricing and with better support than retail.
  4. Configure. Equipment arrives at our office first. It's imaged, encrypted, joined to your environment, loaded with your software, and tested.
  5. Deploy. A technician installs it at your desk, moves your data, and takes the old device for secure disposal.
  6. Track. Warranty, lifecycle, and license counts live in the client portal and feed the quarterly roadmap.

Software licensing

Microsoft 365, Adobe, practice management, DMS add-ons, security tools. We track what you own, what you use, and what renews when, and we right-size the counts every quarter. Audits from software vendors are real; we make sure you'd pass one.

Hardware as a Service

For businesses that would rather not buy a fleet every four years, we offer workstations, servers, and network equipment as a flat monthly cost with automatic replacement at end of life. Predictable, budgetable, and never out of warranty.

What it costs

Procurement support is included in the managed plan. Hardware and software are billed at cost plus a transparent margin, quoted before you approve. Hardware as a Service is priced per device per month.

Can you get better pricing than we would on our own?

Our vendor relationships often get better pricing and support than retail, and equipment arrives pre-configured.

Do you offer hardware as a subscription?

Yes. Hardware as a Service is available for businesses that prefer predictable monthly costs over large capital purchases.

Will you track warranty and lifecycle for us?

Yes. This is tracked as part of ongoing managed IT or procurement engagements.

Should we buy or lease hardware?

Buy when cash is available and the equipment will last four to five years. Lease (Hardware as a Service) when you want predictable monthly costs, automatic refreshes, and no capital outlay. We'll run both numbers for you.

Can you help us avoid buying the wrong thing?

That's most of the value. A consumer laptop from a big-box store, a Wi-Fi router meant for a house, or a server with no warranty all cost more over their life than the right equipment would have. We spec it to the job.
