IT for real estate firms, from listing to closing

Brokerages and property managers run on email, e-signatures, and agents who never sit at a desk. We keep that working and keep wire fraud out of it.

We know real estate

A brokerage's technology problem is that nothing stays in the building. Agents show homes from their phones, sign documents from a coffee shop, and forward offers from a personal Gmail account they set up in 2011. The office still needs a reliable network, shared printers, and a phone system that rings on cell phones. And every transaction moves money, which makes every inbox a target.

We support brokerages, property management companies, and real estate teams across Sarasota, Manatee, and Charlotte counties. Our job is to make the office invisible to the agents, and the agents' data invisible to criminals.

The wire-fraud problem, specifically

Business email compromise is the most expensive cybercrime in the United States, and real estate closings are its favorite target. The pattern is always the same: a criminal phishes an agent, a transaction coordinator, or a title contact, reads the mailbox quietly for weeks, and at the right moment sends the buyer new wiring instructions from a lookalike address. The money is gone in an hour.

Three controls stop almost all of it:

  • Multi-factor authentication enforced on every mailbox, with conditional access that blocks logins from unexpected countries.
  • Email security that flags lookalike domains, external senders, and altered reply-to addresses.
  • Staff training with phishing simulations, so the one person who would have clicked learns before it matters.

All three are included in our managed plan. We don't sell them separately.

What we manage for real estate offices

  • Office network, Wi-Fi, and printers across one or several locations
  • Microsoft 365 or Google Workspace: email, shared drives, Teams, and the security baseline
  • Cloud phone systems that ring on desk phones and agents' cell phones with the brokerage number
  • Backup for transaction documents, contracts, and property records
  • Secure document exchange and e-signature integrations
  • Onboarding and offboarding agents and staff, including revoking access the day someone moves brokerages
  • Property management platforms, MLS access, CRM, and showing tools

Common problems we fix in the first 30 days

  • Shared "office@" mailboxes with one password everyone knows
  • Transaction files living on one laptop with no backup
  • Guest Wi-Fi on the same network as the file server
  • Former agents who still have access to the CRM and shared drives
  • Printers and scanners that only work for whoever set them up
  • Email forwarding rules, planted by an intruder, silently copying messages out of the office

Compliance and insurance

Real estate firms in Florida fall under the state's data breach notification law, and brokerages that handle certain financial information can fall under the FTC Safeguards Rule. More immediately, cyber insurers now ask whether MFA is enforced and whether backups are tested before they'll write or renew a policy. We put those controls in place and give your broker the documentation.

Questions we hear

Frequently asked questions

Don’t see your question? Call us and a real person will answer.

Our agents are independent contractors on their own laptops. Can you still protect the brokerage?

Yes. We secure the brokerage's email, file storage, and transaction systems with MFA and conditional access, and offer a lightweight endpoint package agents can opt into for their own devices.

What's the biggest IT risk for a real estate office?

Wire fraud through compromised email. A criminal gets into an agent's or title contact's inbox, watches for a closing, and sends altered wiring instructions. Enforced MFA and email security stop most of it.

Do you support property management software?

We support the major platforms (AppFolio, Buildium, Yardi Breeze, Rent Manager) and the MLS, CRM, and e-signature tools around them. Tell us your stack during the assessment.

Can you help a brokerage opening a second office in Lakewood Ranch or Venice?

Yes. Network, Wi-Fi, phones, and printers for a new office, with the same security policies as the first one, is a project we do regularly.
