A technology plan, not just a help desk

Quarterly strategy sessions that tie your IT budget to where your business is actually headed.

A business team reviewing plans together around a table

What's included

  • Quarterly business reviews
  • Multi-year technology roadmap and budget planning
  • Vendor and contract review
  • Risk and compliance alignment
  • Budget forecasting for hardware refresh cycles

How it works

  1. Assess: we document your current technology spend and gaps.
  2. Onboard: a 12-month roadmap is built with you in the first 30 days.
  3. Stabilize: quick wins from the roadmap are implemented first.
  4. Optimize: quarterly reviews track progress against the plan.
  5. Plan: the roadmap is refreshed annually or when your business changes.

Who it's for

Owners and office managers who want a say in technology decisions but don't have the time or background to build the plan themselves.

Plans

Included in managed IT plans or available as a standalone advisory engagement. Request a quote.

The question every owner eventually asks

"What should we be spending on technology, and on what?" Most providers answer with a quote. A vCIO answers with a plan: what you have, what's aging out, what the regulators and insurers now expect, what the business needs next, and what each of those costs over the next one to three years.

That's what our quarterly strategy sessions are for. They're included in the managed plan because a network managed without a plan is just a series of surprises.

What the roadmap covers

  • Lifecycle. Every workstation, server, firewall, and switch with its age, warranty, and replacement year, so refreshes are budgeted instead of emergencies.
  • Licensing. Microsoft 365, line-of-business software, and security tools, right-sized to actual usage.
  • Security posture. Where you stand against the controls HIPAA, FTC Safeguards, and cyber insurers expect, and what closes the next gap.
  • Projects. New locations, migrations, phone systems, and the AI tools worth piloting, with realistic timelines.
  • Budget. A twelve-month number you can take to your accountant, broken into monthly plan, planned projects, and reserves.

Vendor and contract review

Internet carriers, copier leases, software renewals, phone contracts. We read the fine print, flag the auto-renewals, and negotiate with vendors we know. Clients routinely save more on a single carrier contract than the review cost.

For businesses with an internal IT lead

A co-managed vCIO engagement gives your internal person a senior partner for planning, security, and the projects that are bigger than one person. They keep the day-to-day; we bring the roadmap and the second opinion.

What it costs

Quarterly reviews and the roadmap are included in the managed plan. Standalone advisory engagements are quoted per project.

Questions we hear

Frequently asked questions

Don’t see your question? Call us and a real person will answer.

Do we need a full managed IT plan to get vCIO services?

No. vCIO advisory can be engaged on its own, though most clients bundle it with managed IT.

How often do we meet?

Quarterly business reviews are standard, with ad hoc check-ins as needed.

Will you help us budget for next year's technology spend?

Yes. Budget forecasting is a core part of the roadmap process.

Can you review contracts with our other vendors?

Yes. Vendor and contract review is included.

What does a quarterly business review actually cover?

What broke and why, security posture against current threats and insurance requirements, hardware and license lifecycle, projects on the horizon, and the budget for the next twelve months. You leave with a written summary and a prioritized list.

We're planning to open a second location. Can you help plan it?

Yes. Network, Wi-Fi, phones, printers, and security for a new office, scoped and budgeted before you sign the lease, with the same policies as your first location.
