How to choose a managed IT provider in Sarasota

Twelve questions to ask every provider you're considering, what a good answer sounds like, and how we answer each one.

Every managed IT provider in Southwest Florida says they're responsive, proactive, and secure. The differences show up in the answers to specific questions. Ask these twelve of every provider you're considering, in writing where possible, and compare the answers side by side.

1. What is your average first-response time, as a number?

A good answer is a number with a definition: "under 15 minutes during business hours, measured from ticket creation to a technician's first reply." A bad answer is an adjective.

Ours: under 15 minutes on average, business hours, with outages escalated to senior engineering immediately.

2. Is security included in the monthly price, or sold separately?

Ask specifically about endpoint detection and response, email security, enforced multi-factor authentication, security awareness training, and managed firewall. If any of those is an add-on, add it to the quote before comparing.

Ours: all included in the one plan. Compliance support is the only add-on.

3. Where are your technicians, and is on-site included?

Ask for the office address and how on-site visits are billed. Some providers bill every visit hourly on top of the monthly fee; some don't come at all.

Ours: Englewood, with technicians routed through Sarasota, Venice, Bradenton, Lakewood Ranch, and Port Charlotte. On-site support is included in the plan within the three counties.

4. Can I see your onboarding process in writing?

A provider with a documented process can show you the steps and the timeline before you sign. One without it will "put something together."

5. How do you test backups?

The right answer involves actual restores on a schedule, not backup jobs completing. Ask when they last restored a server for a client and how long it took.

Ours: scheduled restore tests, immutable off-site copies, and a written recovery plan per client.

6. What's your experience with my industry's compliance rules?

A dermatology practice needs a provider who can say what the HIPAA Security Rule requires without looking it up. A dealership needs the same for the FTC Safeguards Rule. Ask them to name three technical requirements.

7. What will my monthly invoice look like, and what could change it?

Ask for a sample invoice. Flat per-user pricing with projects quoted separately is the standard to look for. Hourly surprises are the thing to avoid.

8. Who owns my passwords, documentation, and licenses if we part ways?

The right answer is "you do, and here's how we hand them over." Anything else is a warning.

9. Can I talk to three current clients in my industry?

References should be recent, local, and in a similar business. Ask what happened the last time something broke.

Ours: case studies with named clients, and references on request.

10. How do you handle hurricanes?

A Southwest Florida provider should have a storm routine: pre-storm backup verification, client check-ins, and a post-storm recovery order.

Ours: we check in with every managed client before a storm and have brought clients back the day after a flood. That story.

11. Do you work with internal IT staff, or replace them?

If you have an IT person, you want a co-managed arrangement with clear lines, not a provider who treats them as competition.

Ours: fully managed or co-managed, same plan, same security stack.

12. What happens at renewal?

Ask about the term, notice period, and whether pricing is locked. Ask how often they've raised prices on existing clients and by how much.

Ours: terms stated in the quote up front, and no surprise increases.

How to use the answers

Put the twelve answers from each provider in a table. The provider with the most specific answers, in writing, is usually the one who'll be most specific when something breaks at 4:45 on a Friday.
